Deals Die Because Nobody Followed Up

Every morning your reps get a draft follow-up email for each deal that went quiet, based on the last call and the email history. One reply in email, Slack or Teams approves it.

Your Warmest Deals Get the Least Attention

  1. 01
Your reps prefer new leads to old conversations.

Picking up a stalled deal means rereading the CRM, the call notes and every email first. That is 20 minutes of concentration per follow-up, so it waits.

  2. 02
"Let me check with my team."

Two weeks later the buyer gets "just checking in", with nothing their team could read.

  3. 03
    "Call me back next quarter."

They said "not now", not "no". The reminder fires, nobody remembers why, and the buyer signs with whoever called with a reason.

Subject: Q3 is here: the conveyor retrofit at your Dayton plant

Hi Tom,

In April you asked me to call back in Q3, once the Dayton line changeover was done.

Since then we cut the lead time on the drive units from 8 weeks to 5.

Does a 20-minute call on Tuesday or Thursday work to pick up where we left off?

Best, Sarah

You Do Not Need More Leads. You Need to Stay Top of Mind.

The easiest deals to close are the ones you already started. A buyer who already spoke to you knows your company, has the problem and told you what holds them back.

That makes an earlier conversation the shortest path to a signed order, and next quarter's revenue is probably already in your CRM.

In the high-growth companies we work with, follow-ups on earlier conversations add 35% in revenue from the same leads. It is still the most neglected part of sales, because doing it well takes discipline, an up-to-date CRM and hours of reading back.

  1. 01They already know your company and your people.
  2. 02They told you their problem, in their own words.
  3. 03They told you what holds them back, so you know what to answer.
  4. 04Most of them never said no. They stopped answering.
  5. 05Follow-ups cost a few emails. A new buyer costs a whole campaign.

After a quote, then silence

Subject: One question on the quote for the two press brakes

Hi Linda,

You have had our quote for the two press brakes since the 4th.

One thing I should have asked: does the delivery window in it work with your floor shutdown in August?

If not, I can move it to September at the same price. Would Thursday work for a 10-minute call?

Best, Mike

Every Stalled Deal Needs a Different Follow-Up

No "just checking in". Every follow-up has a reason behind it, taken from where the deal stopped. The goal is to keep in touch until the deal moves. How often depends on the deal: a quote waits a few days, "next year" waits until next year.

Where the deal stoppedThe follow-ups we draft
A missed call or a no-showWe offer new times, and the one open question from the last conversation
An intro call, but no second meetingA recap in the buyer's own words, with a next step and a date
"Let me check with my team"A one-page summary the team can read without your rep in the room
"No budget right now"A question about when budgets are set, and a follow-up on that date
"Get back to me next year"A message next year: what changed since, and what they told you then
"We are not ready to decide"A smaller first step that takes the risk off the table
A quote or proposal sent, then silenceOne specific question about the proposal, never "any update?"
Lost to a competitorA check-in timed a few months before their contract renews

Example draft, "Let me check with my team":

Hi Mark,

You mentioned on Tuesday that the decision sits with your operations team.

I put the three points they will ask about on one page: lead time, the changeover cost and the service plan.

Would it help if I joined their call for ten minutes? Thursday or Friday works on our side.

Best regards,

Sarah

That is next week, so here is the one-page summary with the payback: 4 months at your volumes.

Reminders Tell Your Reps When. Drafts Tell Them What to Say.

Your CRM can already remind a rep to follow up with a buyer. It tracks the deal, but it does not write the next email.

The rep still has to reread the notes, the transcript and the emails to know what to say, so the reminder waits or becomes "just checking in".

Our agents do that reading every morning, across your CRM, call transcripts, emails and calendar. They find every deal without a next step and every promise that was not kept.

For each one they draft a follow-up that answers the reason the deal stalled, and send it to your rep. One reply approves it. A reply with feedback, such as "shorter, and mention the new price list", gets a new draft.

Nothing is sent until your rep approves it. The goal is to keep in touch until the deal moves, and how often depends on the deal.

  1. 01Every open deal is checked every morning, across CRM, email, calendar and call transcripts.
  2. 02Each follow-up uses the buyer's own words from the last conversation.
  3. 03Your rep approves each draft, or replies with what to change.
  4. 04A deal still stuck after the agreed time goes to the sales manager, with the history attached.
  5. 05A buyer who said "next year" hears from you next year, with what changed since.

Every Morning: Drafted Follow-Ups Ready to Approve

Each rep gets their own list, ranked by deal size and how recently the buyer engaged, so the most valuable follow-ups come first. Behind every draft is one of three checks: a deal with no meeting in the calendar and no contact for the agreed number of days, a promise made on a call that is now due, or a paused or lost deal from the last 24 months where something changed at the buyer (a new project, a new decision maker, a new budget year). The third check is part of the Reactivation add-on.

Questions manufacturers Ask Before the Call

Do we need a new CRM or new tools?

No. We work with the CRM, email, calendar and AI meeting transcripts you already use. The drafts arrive in email, Slack or Teams: your rep approves with one reply, or replies with what to change.

Our CRM is messy. Does this still work?

Yes. The agents also read the emails, the calendar and the call transcripts, so a missing note does not stop them. They flag the gaps they find, so the CRM gets cleaner over time.

Will the follow-ups sound like AI?

No. Each one is based on your rep's own notes and emails, in their tone. Your rep can send feedback in a reply, such as "more formal" or "mention the trade show", and the agent rewrites the draft and remembers it for next time.

Will the agent ever send follow-ups by itself?

Only when you want it to. At the start nothing goes out until your rep approves it. Once the drafts are good enough, you can auto-approve follow-ups, for example for deals up to a size you choose.

What if the follow-ups are not good enough?

Then you get your money back. Our 30-day money-back guarantee is based on the quality of the follow-ups and replies the agent writes.

How much time does it cost my reps?

A few minutes a day to check the drafts, where writing each follow-up from scratch takes about 20 minutes.

Is our data safe?

We work on accounts you own, with read access by default and hosting in the US or the EU, your choice. Every change is logged with who approved it.
